Gemini Side Panel Missing in Workspace (Docs/Gmail) 2026

No Gemini side panel in Docs or Gmail? Check edition, the admin Feature access toggle, and Smart features. Fix order inside.

Your company is on Workspace and Gmail / Docs / Sheets should show a Gemini side panel (the spark icon, top right) and “Help me write” — but yours is empty. This usually is not a bug. Since January 2025 Gemini is bundled into paid Workspace editions, so the old “buy a Gemini add-on” step is gone. What blocks the panel now is one of three layers: your edition must be eligible, an admin must leave Feature access on for your org unit, and Smart features and personalization must be turned on (this last one is off by default for many tenants and is the most common silent blocker as of June 2026).

Fastest fix if you are a normal user: turn on Smart features and personalization in Gmail (Settings → See all settings → General → Smart features and personalization checkbox), then hard-refresh the tab. If that toggle is greyed out or missing, the block is at the admin/edition layer and your IT admin has to act.

Common causes

By frequency, as of June 2026:

1. Smart features and personalization is off (most common now)

Gemini in Workspace apps requires “Smart features and personalization” to be on. It is often off by default, and an admin can also force it off per org unit. If it is off, the side panel simply never renders even though your edition and license are fine.

How to judge: open Gmail Settings → See all settings → General, scroll to Smart features and personalization. If the box is unchecked, that is very likely your problem. If the whole section is greyed out, the admin has locked it.

2. Edition doesn’t include the panel for your app

Gemini ships free with paid Workspace editions, but tiers differ:

  • Business Starter ($7/user/mo annual, as of June 2026): Gemini in Gmail + limited Gemini app (~5 prompts/day). No full side panel across Docs / Sheets / Slides.
  • Business Standard ($14/user/mo annual) and Business Plus ($22/user/mo annual): Gemini side panel across Gmail, Docs, Sheets, Slides, Meet, Drive, plus Gemini app access.
  • Enterprise Standard / Enterprise Plus, Education Plus / Teaching and Learning add-on, and Google AI Pro / AI Ultra for Education: full side panel.

How to judge: ask IT which edition the org is on. If it’s Business Starter and you need the Docs/Sheets panel, you need an upgrade, not a settings fix.

3. Admin turned off Feature access for your org unit

Even on an eligible edition, an admin can disable Gemini per app or per org unit in the Admin Console. Default is on, so this is deliberate cost/policy control.

How to judge: a coworker in a different department has the panel and you don’t. You’re likely in an org unit where it’s off.

4. You think you need a separate “Gemini SKU” — you don’t anymore

The old standalone add-ons — Gemini Business-Legacy, Gemini Enterprise-Legacy, AI Meetings and Messaging, AI Security — were retired when Gemini was folded into base editions (January 2025). If IT is still hunting for a “Gemini license to assign,” that’s the stale model. There is no separate license to assign on current editions; access is governed by edition + Feature access + Smart features.

How to judge: IT says “we never bought the Gemini add-on.” On current editions you don’t need to — confirm Feature access and Smart features instead.

5. App version too old / browser cache

Old Docs / Gmail clients (or a cached web tab from before the rollout) won’t render the panel.

How to judge: hard-refresh the web tab; if it appears, it was cache. On mobile, update the app and restart.

6. Region not rolled out / language gating

Some regions and some non-English UI languages get Gemini in Workspace later. EU and a few regulated markets have lagged on specific features.

How to judge: IT confirms regional/language availability for your tenant; a quick test with the account language set to English can rule out language gating.

7. Personal @gmail.com (not Workspace)

If you’re on a free personal Gmail account, note that Google removed the standalone Gemini side panel from personal Gmail in January 2026 and replaced it with inline AI (AI Overviews and other Gemini-powered tools). The side panel still exists for Workspace plans and on Android mobile. So a “missing panel” on a personal account is expected, not broken.

Shortest path to fix

Step 1: You — turn on Smart features and personalization

Gmail → Settings (gear) → See all settings → General
Find "Smart features and personalization"
Check the box → Save Changes
Hard-refresh the tab (Cmd/Ctrl + Shift + R)

Do the same check in Docs/Sheets if prompted. If the box is greyed out or absent, skip to Step 2 (admin).

Step 2: IT checks the Admin Console Feature access

The Admin Console path changed in 2025. The current path:

Confirm Gemini is ON for the relevant apps (Gmail, Docs, Sheets, Slides, Drive, Meet, Chat...)
Select the affected organizational unit / group and verify it isn't OFF there
SAVE

Also confirm Smart features and personalization isn’t force-disabled for that org unit. Changes can take time to propagate; allow up to 24 hours before assuming it didn’t work.

Step 3: IT confirms the edition is eligible

admin.google.com → Billing → Subscriptions
Check the Workspace edition (Business Starter vs Standard/Plus vs Enterprise...)

If it’s Business Starter and the user needs the Docs/Sheets panel, the fix is an upgrade to Business Standard or higher — not a toggle. Note: there is no separate “Gemini license” to assign on current editions.

Step 4: You — refresh client and session

After edition + Feature access + Smart features are confirmed:

1. Quit all Workspace apps (Gmail / Docs / Sheets tabs)
2. accounts.google.com → sign out of all accounts
3. Clear browser cookies + cache (google.com family only)
4. Sign back into the Workspace account
5. Open docs.google.com — look for the spark icon top right

Mobile:

Play Store / App Store → update Docs / Gmail / Sheets
Restart the app

Step 5: Triage by surface

Step 7: Region — test via VPN

Connect a US VPN, sign into Workspace, check the Docs side panel

Works via VPN = regional or language gating; ask IT about per-region availability for your tenant.

Step 8: Contact Google Workspace Support

If edition + Feature access + Smart features are all confirmed and the panel still won’t appear:

  1. IT opens a ticket: Admin Console → Help → Contact Support
  2. Provide: account email, edition, org unit, screenshots, timestamps, and which surfaces are affected
  3. Google typically responds in 24-48 hours

How to confirm it’s fixed

Open docs.google.com, create a blank doc, and look for the spark/Gemini icon at the top right. Click it — the side panel should open and “Help me write” should appear in an empty doc. In Gmail, opening a draft should show a “Help me write” prompt. If those render, all three layers are aligned.

FAQ

Do I still need to buy a separate Gemini add-on for Workspace? No. Since January 2025 Gemini is included in paid Workspace editions, and the legacy add-on SKUs (Gemini Business/Enterprise, AI Meetings and Messaging, AI Security) were retired. Access is governed by your edition plus admin Feature access plus Smart features and personalization.

Why does my coworker have the panel and I don’t? Two usual causes: your org unit has Gemini Feature access turned off, or your personal Smart features and personalization toggle is off. Check the Gmail toggle first (Step 1), then ask IT about your org unit.

The Smart features checkbox is greyed out — what now? An admin has locked it for your organizational unit. Only IT can re-enable it via the Admin Console; on current Admin Console builds the personalization/smart-features controls live under the Workspace/Gemini settings for that OU.

  • Keep mobile Workspace apps on auto-update; old versions skip the panel.
